The following terms and conditions apply to your bookings. We Kindly request that you read them carefully.
Booking Your Trip
To secure place, we require a photocopy of your passport and 20% of the package price as a non-refundable advance payment as per the company policy. This is necessary to book flight tickets, hotels and for permit processing.
Western Union Money Transfer, Money Grams, Bank to Bank wire transfer, or Credit Card can be used to make advance payment according to your convenience.
The Last Minute Booking
We accept your last minute booking with 100% payment (07 days prior to tour starting date ONLY IN CASES OF NEPAL TRIPS, but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR INDIA, BHUTAN AND TIBET TRIPS).
Final Payment
The full payment is expected upon your arrival in Nepal and before departure for the trip.
We reserve the right to cancel the trip if the full payment is not made on time.
On our holidays’ Package prices are based on the twin-sharing basis. Single supplements are available for an additional fee.
Clients who drop out from the journey regardless of whatever portions remain unused in the itinerary will not be refunded.
Cancellation of a Tour by the Client
If a client voluntarily or involuntarily terminates/cancels the trip once the trip has started, no refund is given for missed or unused services of the trip regardless of the reason i.e. sickness, the death of a family member.
We put all our every effort to ensure comfortable traveling of yours, but you must understand that what you might be accustomed to in the western affluent countries, the Himalayan countries can’t afford such facilities.
Weather is another factor that directly impacts on your journey. Hence, patients in mind, enthusiasm, and proper preparation before the head are must venture into the journey.
UpHimalayas shall not be responsible for any changes in the itinerary due to unavoidable circumstances i.e. natural disasters, weather conditions, government restrictions, political unrest, wars, strikes, road blockage, flood, flight cancellation or delay, sickness or accident. Any extra cost incurred due to such causes shall be borne by the client on the spot.
If we are compelled to cancel the trip under circumstances beyond our control, like snow, landslide or other unexpected circumstances, we will do our utmost to provide you alternative trip of a comparable nature and value.
Flight Delay/Cancellation
There will be a possibility of the flight delay or postponement due to notorious weather in the Himalayan regions, in particular, the Everest region (Lukla), Jomsom, Dolpa, Simikot and Jumla region etc.
Reserve extra days to prepare with some delays and avoid frustrating consequences while trekking to the remote areas or in as described above, especially during the odd season. In case of flight cancellation pre-tour/post-tour, you need to meet your accommodation and food costs by yourself.
If the client wishes to make an alternative arrangement such as a helicopter flight to avoid flight delays UpHimalayas will assist in making the booking, but will not cover the cost of the alternative arrangement.
Unused flight ticket refund is credited to the concerned client after cancellation.
Missed International Flight
In the event of a missed international flight, UpHimalayas would not accept any responsibility for costs incurred but would assist to make alternative arrangements wherever possible.
We highly recommend the client to schedule one or two extra days if their trip involves mountain flights.
Injuries or Evacuation
UpHimalayas is committed to doing everything possible to make our client’s journey pleasant and safe. We select our guide on the basis of their leadership ability under normal circumstances as well as emergencies.
They are certified in First Aid, experienced in altitude-related symptoms and management and medical evacuation.
However, UpHimalayas will not be liable for any injury or health problem experienced by the client during the trip.
Travel Insurance
The package cost does not include client personal insurance.
The client himself/herself must acknowledge the risk implicated in the tour in regard to harm. It is the client’s responsibility to ensure their health and physical fitness is adequate prior to book their trip.
You must purchase a comprehensive travel insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation etc.
We strongly suggest this to all our esteemed clients.
The insurance should cover the full duration of travel in Nepal.
Amendment in Tour Cost
We reserve the right to revise pricing rate posted at our website, under any circumstances, or on the pressure of various external factors that are further than our control, for instance, changes in exchange rate, government action etc. But, we put forth an effort to keep on the present rate.
Papers & Documents
Visa issue, necessary permits etc., and all necessary documents must be ready. We’re not accountable in case you do not complete any trip formalities on time. Before the trip departs please make sure all essential papers and documents are ready.
UpHimalayas arrange all tours in Nepal, India, and Bhutan. Rules, regulations and the policies of the respective country are followed accordingly.
If a client commits any unlawful act during the trip, we reserve the right to expel you from the group. No refund will be provided in such cases.
